Job Description

Heavens Recruitment are currently seeking an Events Manager to work with a Local Authority based in West London on a temporary basis.


The succesful candidate will be required to work full time in the office based in Ealing.

  • Temporary Role - 3 months with possible extension

PURPOSE OF ROLE

  • To support the Senior Event Manager to develop and maintain a commercial culture and customer focused environment within the Hospitality & Events Department.

  • To manage events in Ealing Town Hall, Greenford Hall, Perceval House, Gunnersbury Park and any other Borough based venue as required

  • To sell and promote the hospitality business at the above venues and at any other LB Ealing venues as required

  • To achieve the sales targets as agreed with the Senior Event Manager

  • In liaison with other council departments and council members, ensure that all Hospitality events operate in conjunction with other operational activities of the site.

  • Develop good on-site communications within hospitality and events and with other stakeholders involved with the properties.


KEY ACCOUNTABILITIES

  1. Using the established Hospitality & Events Departmental procedures to actively sell and promote the venues within the Hospitality and Events portfolio, undertaking showrounds, event planning meetings and supplier meetings as necessary

  2. Produce Sales Reporting Information as requested by the Senior Event Manager on a monthly basis.

  3. Respond to all public enquiries (by telephone, email or in person) quickly and efficiently within the timescales agreed in the Hospitality & Events Departmental procedures;

  4. Follow up enquiries and provisional bookings to convert sales in line with the Hospitality & Events Departmental procedures;

  5. Use proformas to draw up contracts, invoices and other paperwork relating to events and maintain client files and the client database in good order;

  6. Carry-out office administration such as maintaining filing systems and databases, sending out brochures and written correspondence, keeping accurate records all the time adhering to the Hospitality & Events Departmental procedures;


KEY PERFORMANCE INDICATORS

  • To achieve sales targets as agreed with the Senior Event Manager for all Ealing hospitality properties;

  • To ensure compliance with all relevant health and safety legislation and frameworks, including the carrying out of Risk Assessments for events

  • To achieve specific performance indicators for each event in conjunction with the Head of FM Performance and Events.

  • Regular Excellent/very good ratings on Client Satisfaction surveys for customer service and effectiveness of event delivery



ESSENTIAL KNOWLEDGE, SKILLS & ABILITIES:

  • Experience of managing events across multiple locations in non-standard venues dealing predominantly with temporary events

  • Excellent communication skills both in leading teams and communicating outcomes to a lay client and to senior managers and elected members.

  • Knowledge of relevant Health and Safety legislation.

  • Appreciation of public sector operations and objectives

  • Regular evening, weekend and Bank Holiday working will be required

  • Working knowledge of the Licensing Act 2003 and preferably a Personal Licence Holder

  • Ability to sell product to clients across a range of levels

  • An ability to enforce high industry standards at events and in the venues at all times

  • Excellent customer service skills and a collaborative approach to working

  • Strong organisational and administrative skills with ability to prioritise and deliver to deadline
